About the company

Apex Growth is a performance marketing agency in need of a Project Manager to be the owner of the operational and logistical work - coordinating timelines, following up on open items, keeping systems organized, and making sure nothing falls through the cracks.

This is a long-term, ongoing role, not a project-based hire. The specific mix of what this person is doing in a given month — new client onboarding, ongoing account coordination, internal systems work — will shift with where the team's needs are. The through-line is ownership of organization, timelines, and follow-through across whatever accounts and initiatives they're assigned to.

CORE RESPONSIBILITIES

Client & Project Coordination

• Own the logistics and coordination of client work end-to-end — whether that's a new client's onboarding (gathering information/access, requesting and chasing down assets, coordinating internal handoffs, tracking what's been built vs. still outstanding) or an existing account's day-to-day (making sure assets and requests are actually reviewed and actioned, keeping campaigns/tests on schedule).
• Serve as the point person on client Slack channels and Google Doc comments — monitoring, responding, and routing quickly rather than letting things sit.
• Track what's outstanding across accounts and initiatives — requested vs. delivered, open questions, upcoming deadlines — providing visibility that senior staff can rely on.
• Build and maintain standardized processes and realistic turnaround times for common deliverable types (audits, trafficking sheets, reports, kickoffs), refining them as the team learns.

Timeline & Capacity Management

• Set realistic expectations on turnaround requests by clearly laying out what a deliverable actually involves and how long it reasonably takes — advocating for timelines that protect quality.
• Maintain visibility into team bandwidth (via ClickUp) — who has capacity, who's overloaded, what's already committed, and flag scheduling conflicts proactively.

Systems & Tooling

• Own and continuously improve the team's ClickUp setup: structure, task assignment, time tracking accuracy, and ease of navigation, integrating Claude/AI tools into workflows.

Communication Ownership

• Draft client-facing emails requesting information, assets, or approvals.
• Ensure nothing falls through the cracks between meetings, Slack, and doc comments — close the loop on every client ask.

WHAT THIS ROLE IS NOT

• Not responsible for strategic recommendations to clients, but is expected to execute against a plan once direction is set..

IDEAL CANDIDATE PROFILE

• Seniority — roughly 6+ years of experience, enough to have earned real ownership of deliverables and the credibility to define timelines.
• Profile — strategic thinker who can also execute and pull levers, not purely a planner or purely a doer. Needs to own outcomes, not just track them. This is a hands-on role: they'll be doing the work themselves, not just assigning it to someone else.
• Comfort with ambiguity —. Success means finding a reasonable path forward with incomplete information rather than waiting for a fully defined process
• Marketing fluency — working-level understanding of digital/performance marketing; can get up to speed quickly on a new client's industry and terminology without hand-holding. Bonus: understanding of creative production timelines and workflow.
• Tooling — comfortable in ClickUp (or fast to learn); comfortable using AI tools like Claude as part of daily workflow.
• Communication — confident communicating directly with clients via email/Slack, and comfortable advocating for realistic timelines with internal stakeholders.
• Judgment — strong independent decision-making; spots gaps and solves for them proactively.
