Executive Assistant
Million Marker Research Institute (MMRI) is an early-stage nonprofit organization based in Berkeley, CA. We conduct lab tests on products to identify potentially harmful chemicals and provide human interventions through mail-in urine tests and online courses. Our goal is to educate consumers, brands, and suppliers about the health impact of chemical exposures and inspire a healthier environment for all. We are seeking a highly organized and detail-oriented Operations Coordinator to support our dynamic team. This role is crucial for maintaining smooth operations, ensuring efficient project management, and contributing to the company's growth and success.
As an Executive Assistant, you'll be responsible for managing various aspects of our non-profit organization, from website maintenance and product research to project management and customer service. You'll work closely with our team of scientists, software engineers, communication experts, and business leaders, contributing to our mission of educating people about environmental toxicants and promoting healthier living. While you will work for MMRI solely, you will also be working with members of our for-profit division, Million Marker (MM). This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently in a fast-paced startup environment. This is a remote position with a flexible work schedule and competitive pay.
Responsibilities:
- Manage and update the non-profit website, ensuring content is current, all links are functional, and all graphics are high quality.
- Use Trello, Clockify, and other company tools for project coordination and tracking KPIs.
- Assist in data input for product ingredients and maintain the database of recommended products.
- Research potential brands and products for upcoming testing.
- Oversee project timelines, track deadlines for grants, and manage key milestones using project management tools.
- Maintain and update various spreadsheets with time-sensitive information on a weekly basis.
- Coordinate and schedule meetings, take detailed notes, and follow up with stakeholders as needed.
- Respond to emails in a timely and professional manner.
- Help strategize and implement a fundraising strategy.
- Contribute to content creation by occasionally writing blogs, newsletters, social media scripts, and FAQs.
- Organize and manage Google Drive files and folders for efficient document storage and retrieval.
- Create and update documentation for processes and workflows to ensure consistency and efficiency across the team.
- Assist with and eventually lead coaching sessions for studies, answer participant questions, and report feedback about sessions to team members.
- Analyze data from various projects and prepare reports to present findings to the executive team, aiding in strategic decision-making.
- Research trends for projects, including lab testing for products, human interventions, environmental justice, and other areas of opportunity.
- Interact with study participants recording product use and lifestyle habits.
- Keep track of communications with collaborators, study participants, vendors, donors,
investors, and consultants, ensuring that all project timelines are maintained.
- Ensure that all required paperwork and filings are current.
- Support team members with additional tasks and projects as needed.
- Verify MM/MMRI team members are allocating their time adequately on Clockify every week
Qualifications and Skills:
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office/Google Office suite (Excel/Sheets, Word/Docs, PowerPoint/Slides).
- Experience with team collaboration software (Google Docs, Slack, Trello, Calendly, etc.).
- Strong attention to detail and ability to multitask in a deadline-driven environment.
- Can work on and make progress with multiple long-term projects simultaneously.
- Self-starter, free-thinker capable of working independently and as part of a team.
- Ability to adapt and work under minimal supervision in a remote environment.
- Can be available from 9:00 am - 5:00 pm Pacific Time
- Has a designated area where they can actively partake in meetings remotely and without interruption.
- Reliable internet connection is essential; must be able to attend meetings, host coaching sessions, and facilitate presentations.
- Knowledge of website management and basic coding (Shopify experience preferred).
- Excellent organizational and project management skills.
- An interest in reading, researching, and writing is preferred.
- Familiarity with social media platforms such as Instagram, Facebook, Youtube, Twitter, Linkedin and Tiktok. The ideal candidate would be willing to create an account to manage all social media platforms if they didn’t have one already.
- Basic knowledge of graphic design tools (e.g., Canva, Adobe Creative Suite) is a plus.
