As a Marketing Assistant, you will be a key player in supporting our marketing department working directly with the CMO, ensuring seamless operations, and contributing to the success of our clients. We are looking for a skilled individual with a proven track record in marketing experience, possessing excellent organizational and communication skills. The ideal candidate is proactive, technical, and efficient, with a passion for completing impactful marketing initiatives. Although this role will be based in North American time zones, flexibility in working hours is essential to accommodate various marketing activities and deadlines.
Key Responsibilities:
Event Coordination
• Event Planning and Execution: Manage the full lifecycle of field marketing events, including large industry expos, to smaller tailored industry events.
• Executive Briefing - yes! Prepare detailed briefing documents for the executive teams attending various marketing events, from the packing list, to contact information onsite, to attendee profile research.
• Vendor Management: Source, negotiate, and manage relationships with vendors, ensuring high-quality services and materials (e.g., tablecloths, decor, event swag).
• Logistics Coordination: Handle all event logistics, including venue booking, catering, AV setup, transportation, and shipping of event materials.
• Swag and Gifts: Manage the ordering and distribution of branded swag, attendee gifts, and decor for various events, ensuring the right quantities and designs are ready for each occasion.
• Stakeholder Collaboration: Work closely with internal teams, including sales and marketing, to ensure events align with business goals and deliver high-value engagement opportunities.
• Supporting the local teams at events: Coordinate on-site setup and breakdown for larger events with the local teams, ensuring seamless execution and troubleshooting any issues that arise.
• Post-Event Follow-Up: Measure the success of events through feedback, lead generation, and post-event engagement. Provide analysis and recommendations for future improvements.
CRM Management
• Manage CRM systems to maintain accurate records of leads, prospects, and customers from marketing events and campaigns.
• Help with follow-up communication and nurture leads generated through marketing efforts.
• Remote Teamwork: Coordinate all event activities remotely, managing communications, timelines, and deliverables across multiple teams and stakeholders.
Marketing Project Management:
• Serve as the key point of contact for the coordination of marketing projects across different departments (sales, product, customer success).
• Track marketing project timelines and deliverables, ensuring all stakeholders are aligned and tasks are completed on time.
• Manage the administrative side of marketing campaigns, including tracking budgets, processing invoices, and organizing project files.
• Facilitate cross-functional communication to ensure consistency and alignment in marketing operations.
Operational Support:
• Assist in maintaining and organizing marketing assets and documentation to ensure easy access and version control.
• Update internal project management tools (e.g., Asana, Monday.com) to reflect project status and keep team members informed.
• Generate and distribute regular reports on event outcomes, project performance, and marketing operations metrics.
Qualifications:
• 4+ years of experience in marketing coordination, project management, or marketing operations.
• Strong organizational and project management skills with a keen attention to detail.
• Experience in coordinating B2B field marketing events.
• Proficient in project management tools (e.g., Asana) and marketing automation systems (HubSpot experience a plus).
• Ability to manage multiple tasks simultaneously and work cross-functionally.
• Strong verbal and written communication skills.
Preferred:
• Experience working in a fully remote environment.
• Knowledge of B2B marketing principles and audience engagement strategies.
• Experience working in a startup or fast-paced environment.
• Proven ability to execute high-quality events on a budget.
