We're Hiring: Executive Assistant (Remote)
Timings: Monday–Friday | 9 AM–6 PM or 11 AM–8 PM (Eastern Time Zone)
Occasional weekend shifts (Sat/Sun) will be paid extra.
Ustaff360 is seeking a highly organized, tech-savvy, and proactive Executive Assistant to support our leadership team and manage operational workflows. This is a remote, full-time role aligned with Eastern Time (ET) hours. Key Responsibilities:
• Executive Calendar Management: Efficiently manage and schedule appointments, meetings, and events for executives, ensuring timely communication and coordination with stakeholders.
• Stakeholder Communication: Reach out to various stakeholders to facilitate smooth communication regarding ongoing projects, deliverables, and deadlines.
• Data Management: Maintain and update Excel sheets and Google Sheets with accurate and current information. Organize and manage data for easy access in reporting and project tracking.
• Project Tracking: Monitor project timelines, deliverables, and progress, ensuring that projects stay on track. Proactively address any delays or issues as they arise.
• Report Creation and Data Analysis: Generate and present reports based on data from dashboards. Provide insightful analysis to executives for informed decision-making and performance tracking.
• Documentation Management: Organize and manage critical documentation, including contracts, internal reports, and other operational materials. Ensure proper filing and efficient retrieval when necessary.
• Process Development: Assist in creating and maintaining manuals for processes, policies, and operational procedures to ensure consistent workflows within the organization.
• Customer and Executive Support: Provide high-level administrative support to executives and serve as the primary point of contact for executive-level inquiries from stakeholders.
• Research and Data Entry: Conduct research as required and assist with data entry tasks to ensure all information is logged and updated accurately.
• Tech-Savvy: Demonstrate proficiency in various technologies, including Microsoft Office Suite, Google Sheets, CRMs, and project management tools to enhance efficiency in all work processes.
Requirements:
• Proven experience as an Executive Assistant, particularly in a customer-facing role within North America.
• A medical background or experience in the pharmacy industry is required. Preference will be given to candidates with a professional background in pharmacy.
• Proficiency in Microsoft Office, Google Sheets, and CRM systems is essential.
• Strong knowledge of project management principles and the ability to monitor and track project progress.
• Report writing experience, with the ability to generate actionable insights from data.
• Excellent research skills, with the ability to gather relevant information and compile data-driven reports.
• Exceptional organizational skills with meticulous attention to detail.
• Ability to work independently and manage multiple tasks efficiently, prioritizing tasks without supervision.
• Strong communication skills, both written and verbal, with the ability to engage effectively with stakeholders at all levels.
• Must be able to take initiative and independently identify tasks, demonstrating a proactive approach without the need for constant supervision or guidance.
• Must be available to work full-time during Eastern Time Zone hours, five days a week.
Desired Skills:
• Experience in process and policy documentation, including creating operational manuals.
• Strong problem-solving abilities and a proactive approach to tackling challenges.
• Ability to quickly adapt to new tools and technologies to optimize workflows.
