The Impact You’ll Make
You’ll be the connective tissue between three hyper‑busy execs and a 30+ person (and growing) team spread across three time zones. Your super‑power is turning chaos into clarity—shielding calendars, triaging comms, and ensuring the right conversations happen at the right time, whether that’s an investor pitch, a board‑deck dry‑run, or a last‑minute flight to NRF.
What You’ll Own
Calendar Command
Ruthless prioritization across founder‑led sales calls, VC check‑ins, internal stand‑ups, in-person events and family blocks. You decide what gets a slot and what gets bumped—with context, not chaos.
Inbox & Comms Control
Zero‑inbox mindset. Draft replies, surface the signal, and chase the loose threads (investor intros, enterprise prospects, PR requests).
Meeting & Board Prep
Own agendas, minutes, and action tracking for LT meetings. Build crisp slides and packets for monthly board syncs; keep OKR dashboards current.
Project Orchestration
Partner with the COO to watch over cross‑functional initiatives—product launches, IRL team off‑sites, integration roll‑outs, locking down our new Toronto office—and nudge owners before deadlines slip.
Travel & Event Playbooks
Book end‑to‑end travel (Shoptalk, Shopify Editions, Merchant Meetings, Board meetings). Plan IRL weeks and retreats that feel legendary, not logistical.
Expense & Vendor Admin
Work with our CFO to file expense reports, reconcile corporate cards, and wrangle vendor paperwork so finance stays zen.
Culture Carrier
Pulse‑check team sentiment, drop timely Slack shout‑outs, and help live our values every day.
You Might Be the One If…
- 5+ years supporting multiple C‑suite leaders in venture‑backed tech or a blitz‑scaling startup.
- Calendar‑tetris, inbox‑alchemy, and follow‑through are second nature.
- Excellent written voice—able to shift from investor‑polished emails to playful Slack updates.
- Fluent in Google Workspace, Slack, Notion, and Shortcut; quick to master new tools (we love AI copilots).
- Operate with discretion: board decks, cap tables, and funding docs stay locked down.
- Thrive amid ambiguity, juggle ten balls, and still find a way to automate the eleventh.
- Bonus points for experience supporting fundraising, PR cycles, or founder‑led enterprise sales.
