Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support Nathan Mersereau, President of Planning Alternatives and Chapter Chair of YPO Global One. This is a high-impact role that interacts with business leaders, global networks, and our company’s unique culture. The right candidate will act as Nathan’s right hand, managing his time, organizing key initiatives, and representing him with professionalism, efficiency, and discretion.
Key Responsibilities:
- Plan and manage complex travel itineraries, both domestic and international.
- Schedule meetings with Planning Alternatives internal team members, select clients, YPO leaders, and outside key contacts and partners.
- Coordinate personal appointments and wellness commitments as needed.
- Coordinate logistics, travel, and presentation materials for speaking engagements.
- Manage administrative logistics related to Nathan’s book project, including scheduling writing time and coordinating with editors or publishers.
Project and Task Management:
- Track and organize a range of work and personal projects.
- Maintain visibility on progress and deadlines through dashboards or project management tools.
- Collaborate with various internal departments and external contacts to move initiatives forward.
- Balance strategic, operational, and personal priorities with precision.
Client Facing Communication and Support:
- Draft or manage select communication with Planning Alternatives clients when appropriate.
- Handle confidential and time-sensitive information with the highest level of discretion.
- Represent Nathan’s tone, values, and professionalism in all written and verbal communications.
- Maintain CRM and contact systems for seamless interaction and follow-up.
Qualifications:
- Minimum 3-5 years of experience as an executive assistant.
- Experience supporting a high-performing executive in a complex and fast-moving environment.
- Outstanding organizational skills with extreme attention to detail.
- Excellent written and verbal communication skills.
- Familiarity working with ultra-high-net-worth individuals and comfortable navigating the discretion, complexity, and expectations that come with those relationships.
- Technologically fluent, with a strong working knowledge of: Microsoft Office Suite, including Teams, Outlook, Word, PowerPoint, and Excel. Online scheduling tools, CRM platforms, and cloud-based systems. Ability to leverage technology and AI tools to plan travel, manage projects, optimize time, and streamline administrative workflows.
- Strong ability to anticipate needs, prioritize with sound judgment, and follow through independently.
- Familiarity with YPO or experience working with executive peer organizations is a plus.
