We’re now hiring a full-time Executive Assistant & Operations Partner to work directly with the founder (Pietro Saccomani) and become an essential part of how we operate and scale.
What This Role Is
This is a senior hybrid role — part executive assistant, part operations/project manager, part accountability partner. It’s not just about organizing the founder’s calendar. You’ll be a central operator in the business: helping run projects, drive follow-through, manage priorities, and make sure nothing slips.
You’ll be the connective tissue between meetings, projects, and people. You’ll track what's happening across the company, stay ahead of deadlines, hold the team accountable, and—critically—help the founder stay focused and consistent in execution.
You’ll also bring your skills in automation and AI to help improve how the business runs — whether that’s building dashboards, setting up workflows, or using AI to save time and increase clarity.
What You’ll Do
- Watch recorded meetings (or occasionally attend live), extract key decisions, summarize notes, and follow up on action items
- Maintain a full view of all key projects and responsibilities across the team
- Hold the team accountable to their commitments
- Hold the founder accountable to his priorities, ideas, and decisions
- Join a short daily sync-up (15–20 mins) to align on focus, remove roadblocks, and recalibrate
- Be copied on key emails and Slack threads to draft messages, follow up, and keep things moving
- Write clear, concise updates on what’s progressing, what’s blocked, and who needs nudging
- Build, maintain, and improve dashboards, project trackers, SOPs, and systems
- Automate repetitive tasks using tools like Zapier, Airtable, AI agents, or Google Sheets scripting
- Research and implement AI tools/workflows to support marketing, operations, and growth
- Manage calendars and meeting flows to protect deep work and reduce context switching
Who You Are
- You’ve supported senior executives or founders before — and thrived in a high-trust, fast-paced environment
- You’re a clear, confident communicator — both written and verbal
- You’re obsessed with operations, systems, and accountability — you like following up and tracking
- You’re tech-savvy and experienced with automation and AI workflows
- You’re organized, proactive, and don’t let details slip through
- You’re assertive and comfortable nudging both the team and the founder to follow through
- You work well asynchronously, but value regular check-ins and clear rhythms
Requirements
- 2+ years in an executive assistant, operations, or chief-of-staff-style role
- Strong written and spoken English
- Comfortable working full-time, remotely, with at least 4–5 hours overlap in ET
- Proven ability to track and manage complex projects across multiple stakeholders
- Hands-on experience with automation tools (e.g., Zapier, Airtable, Make.com, Google Sheets scripting)
- Familiarity with AI tools (e.g., ChatGPT, Claude, Perplexity, GPT for Sheets, Notion AI, Clay, etc.)
Bonus Points
- Background in SaaS, ecommerce, or marketing
- Experience building internal tools or dashboards
- Familiarity with outbound, paid media, or content operations
- You love simplifying complexity and improving how things run
